St Alphege Preschool & Kids Clubs Fees Policy

1.    Introduction

1.1  St Alphege Preschool & Kids Clubs is committed to providing high-quality early years education and childcare at an affordable rate. This policy outlines the structure of our fees, payment terms, and financial expectations from parents and guardians.

1.2  St Alphege Preschool & Kids Clubs runs sessions every weekday during term time.

1.3  Preschool comprises:

1.3.1     Morning and afternoon sessions for 2–4-year-olds.

1.4  Kids Club comprises:

1.4.1     Breakfast club for before school care for children attending St Alphege Nursery & Infant School.

1.4.2     Wraparound sessions for children attending St Alphege Nursery.

1.4.3     After school club for children attending St Alphege Nursery & Infant School.

1.5  We are governed by the St. Alphege Preschool Committee, a sub-committee of the Solihull Parish Parochial Church Council (PCC).

1.6  The Preschool Committee reviews this Fees Policy annually, in advance of each academic year, to ensure that fees cover base costs and are comparable to other settings.

1.7  The committee will give families a full half term’s notice should any fee increases be required during the academic year.

1.8  Elements of this Fees Policy may be altered/waived at any time at the discretion of the Preschool Committee.

2.    Parent Contact:

2.1  We use a parent app to communicate with families using the setting. This software allows us to message parents, share information and photographs of the activities we do, provide parent access to their child’s learning journey, issue invoices and confirm payments received. Please see our Privacy Policy for full details.

3.    Fees Structure:

3.1  Fees for the current academic year are set out in Appendix 1 to this policy for Private places and Appendix 2 for Government Funded places.

3.2  Fees are still payable if a child is unable to attend (e.g. due to illness, holiday or appointments), or if we must close due to unforeseen circumstances.

3.3  Fees are set according to government funding rates and local market value.

3.4  Fees are payable monthly in advance and must be settled by the 1st of each month.

3.5  Payment can be made via bank transfer, childcare vouchers, or Tax-Free Childcare.

3.6  Late payments may incur an additional charge of £15 for each week (or part thereof) that payment is overdue.

3.7  Persistent non-payment may result in the suspension or termination of childcare services which we reserve the right to revoke without notice.

3.8  Refunds of overpaid fees may be subject to a £20 processing fee.

4.    Preschool Fees:

4.1  Preschool Attendance Fees are payable monthly in advance, based on the number of sessions due to be attended.

5.    Wraparound Fees:

5.1  All fees shall still apply if a child returns to the setting having previously cancelled their place.

5.2  Wraparound Attendance Fees are payable monthly in advance, based on the number of sessions due to be attended.

6.    Breakfast Club Fees:

6.1  Breakfast Club Attendance Fees are payable monthly in advance, based on the number of sessions due to be attended.

6.2  There are no government funded places available in our Breakfast Club provision.

7.    After School Club:

7.1  There are no government funded places available in our After School provision.

7.2  All fees shall still apply if a child returns to the setting having previously cancelled their place.

7.3  Kids Club Attendance Fees are payable monthly in advance, based on the number of sessions due to be attended.

8.    Lunch / Hot Meals:

8.1  For any child attending full day preschool sessions and Wraparound, there is a hot lunch available which is charged at £3.50 per day. Full menu and allergen details can be found on site or requested from the Preschool Manager.

9.    Funding and Free Entitlement:

9.1  We accept government-funded places for eligible children, including the 15 and 30 hours of free childcare for 2, 3 and 4-year-olds.

9.2  Parents must complete the necessary funding paperwork before the start of each term to secure their child's place and provide evidence of eligibility.

9.3  Any additional hours beyond the funded entitlement will be charged at the standard rate.

10. Notice Periods & Changes:

10.1                A minimum of a half term’s written notice is required if a parent wishes to withdraw their child from the setting.

10.2                If insufficient notice is given, fees for the notice period will still be payable in full.

10.3                Any changes to bookings should be directed to the Preschool Manager for consideration. We require 4 weeks’ written notice to make any booking changes.

10.4                Changes to regular bookings may be permitted at the Manager’s discretion, subject to an administration fee of £20.

10.5                Late Collection Fees will be charged at a rate of £15 for every 15 minutes (or part thereof) that the child remains at the setting past their usual booked time.

10.6                Repeated late collection may result in a review and potential termination of the child’s place at the setting.

Appendix 1 – Fees for Private Places

1.    Breakfast Club

1.1 A onetime non-refundable Administration Fee of £25 per child is payable upon confirmation of a place at Breakfast Club. This covers the administrative function required to prepare for the child joining Breakfast Club and ongoing administration costs.

1.2 This fee shall still apply if a child returns to the setting having previously cancelled their place.

1.3 The administration fee is only charged once for children attending multiple sessions.

1.4 £11 – Breakfast Club Attendance Fee (per session)

1.5 There is an early drop off option for children attending Breakfast Club which starts from 07:30 and is charged at £2.75 per day.

2.    Preschool

2.1 A onetime, non-refundable Preschool Administration Fee of £25 per child is payable upon confirmation of a place at Preschool. This covers the administrative function required to prepare for the child joining Preschool and ongoing administration costs.

2.2 The administration fee is only charged once for children attending multiple sessions.

2.3 £11 – Preschool Attendance Fee (hourly).

2.4 Any additional preschool hours booked are charged at £11 per hour.

2.5 There is an early drop off option for children attending Preschool which starts from 08:30 and is charged at £5.50 per day.

3.    Wraparound

3.1 A onetime non-refundable Administration Fee of £25 per child is payable upon confirmation of a place at Wraparound. This covers the administrative function required to prepare for the child joining Wraparound and ongoing administration costs.

3.2 The administration fee is only charged once for children attending multiple sessions.

3.3 This fee is not charged for any children that have directly transferred from Preschool.

3.4 £41.25 – Wraparound Attendance Fee (per session).

4.    After School Club

4.1 A onetime non-refundable Administration Fee of £25 per child is payable upon confirmation of a place at Kids Club. This covers the administrative function required to prepare for the child joining Kids Club and ongoing administration costs.

4.2 The administration fee is only charged once for children attending multiple sessions.

4.3 This fee shall still apply if a child returns to the setting having previously cancelled their place.

4.4 The Kids Club attendance fee is charged as follows:

4.4.1     £16.50 School end – 5pm.

4.4.2     £27.50 School End – 6pm.

4.4.3     £11 Extension (5pm-6pm).

Appendix 2 – Fees for Government Funded Places

1.    Preschool

1.1   The Preschool Administration Fee is covered by government funding.

1.2   The Preschool Attendance Fee is fully covered by government funding.

1.3   Any additional preschool hours booked are charged at £11 per hour.

1.4   There is an early drop off option for children attending Preschool which starts from 08:30 and is charged at £5.50 per day.

1.5   The Preschool Voluntary Services Fee is £11 per day. This is a voluntary contribution that allows us to provide additional activities and services for the children. A list of items covered by this fee is attached at Appendix 3 to this policy.

1.6   These voluntary fees can be opted out of at any time by contacting the Finance Manager by email or through an app message.

2.    Wraparound

2.1   The Wraparound Administration Fee is covered by government funding.

2.2   The Wraparound Attendance Fee is fully covered by government funding.

2.3   The Wraparound Voluntary Services Fee is £5.50 per day. This is a voluntary contribution that allows us to provide additional activities and services for the children. A list of items covered by this fee is attached at Appendix 3 to this policy.

2.4   These voluntary fees can be opted out of at any time by contacting the Finance Manager by email or through an app message.

2.5   Additional 11:45am-3:30pm hours not covered by Funding are charged as per Appendix 1 of this Fees policy.

Appendix 3 – Voluntary Services Fees

We are required from April 2025 by the Government to clearly break down any charges made for your childcare with us.

Government Funding is to cover the Basic Early Years Foundations Stage provision which includes such things as: -

·       Education

·       Sand and water play

·       Small world figures, role play, puzzles, books and basic craft supplies

·       Loose parts and construction toys

·       Staffing levels that meet the minimum Government ratios.

The government funding does NOT include.

·       Any food or snacks

·       Nappies, wipes and sun cream (Parents are to provide these items due to allergies)

·       Tissues and nappy sacks

·       Emergency spare clothes

·       Enrichment activities such as to the park, the library, the police station, gardening, cooking,

·       Special events such as the Christmas Party, Summer party, graduation party,

·       Festivals

·       Wellies and waterproof clothing for outside play.

·       Additional high-quality resources such as baking supplies, the vegetable growing and our sensory equipment to list just a few.

·       Additional Safeguarding Leaders

·       All staff Paediatric First Aid Trained.

·       Access to online Learning Journal and care dairy.

·       Extra-curricular activities and classes.

·       Spare Epi-Pens, Life Vac, emergency Paracetamol and the defibrillator.

Therefore, please be aware of our terms and conditions in your application pack you will need to sign to say you either opt in or opt out of our Additional Service Change.

If you choose not to opt-in, you will be able to receive your basic government provision of 15 or 30 hours free of charge. We will supply you with a list of everything you will need to bring in for every session your child attends. We will check this before you leave and inform you of what needs supplying.

Also please be aware that some sessions/days will need to be changed throughout the year, depending upon when our enhanced provision sessions are, we will give you a list of dates each half term that will need to be changed.

The costs to create this high-quality provision will have already been discussed with yourselves during your visit to us and will not change if you choose to opt-out.
